Preparing A File
Download TextPad. It’s the best application for manipulating large files. It can open up to 1.4 gb files. Unfortunately, it’s only for Win. There is no MAC version.
There are four systems to choose from: Manual Scrub, Self Scrub, Real Time API & FTP API. Manual Scrub is an FTP we setup for you. You upload the data, we pull it down, we scrub the data and upload it back to your FTP. Self Scrub is a link with a user name and password; you login, browse, select file, upload, choose from many customizations and start scrubbing by yourself. The API’s are done programmatically.

If you are uploading a file for us to scrub (Manual) or to upload and scrub by yourself (Online), then follow these important instructions:
All files must be named properly (for Manual). In order to clean them we (our manual scrubbers) must know what kind of data we are working with. Currently, we have 3 ways we scrub: Lite, Overhaul & Overdrive. lite_ overhaul_ overdrive_
Lite (most popular) is used for all common scrubs. It scrubs against our known traps file of almost 7 million, against our known complainers file of 40 million, against our known bounce file of 50 million, against our threat domains & strings and now we can scrub with mx records validation which ecompasses all needs for a complete and thorough scrub. You can scrub against b2b, coreg, leads, third party lists, harvested and any other list of emails with multi-column support. Most clients are now using Lite.
Overhaul scrubs against a 3 gb suppression of new & legacy opt out subscribers from 2006 – present. It has all of the same functions as Lite but includes one of the best opt out unsubscribe lists in the world.
Overdrive scrubs against a 6 gb suppression of new & legacy opt out subscribers from 1999 – present. It’s the same thing has Overhaul but with even more unsubscribes dating back to 1999. You would only need to use Overhaul or Overdrive if you want to scrub against the global do not email list or to cut back on complaints.
Name every file lite_ or overhaul_ or overdrive_ so we know how to scrub it. In example, if your file name is 4opens.csv, please rename it to lite_4opens.csv so we can scrub it the way you want it scrubbed according to the 3 ways above.
If IP’s are in column B (second row from the first next to emails), please move them some place else. Sometimes, our system gets confused when an email column is stringed with an IP column. It’s best to always move the IP column over to the right or somewhere else (the end of the data).
All data must be properly converted to comma delimited (.csv) on your end. All four systems are designed to scrub .csv files only.
Foreign Data (Manual Scrub): In order to scrub foreign data properly, we need you to please name the file foreign_lite_filename.csv. Our default is set to take foreign out. If you want them in, name the file correctly. AGAIN: If you want to keep the foreign email addresses OUT. Do not change a thing. If you want them IN. Please rename the file to reflect foreign_lite_filename.csv
The self scrub system also has foreign data checked to remove them. Read instructions further about how to scrub data on self scrub here.
Make sure the rows are formatted correctly.
If there are missing commas where they should be, it will confuse both systems. A handy trick we use is Excel. We split the files up into 1 million and format files correctly in Excel and save as comma delimited (.csv) then merge all files into one before scrubbing. We ask that you do this to save time on our end. A handy trick is to open the file and find and replace space with no space. That should fix it.
Make sure there are no empty rows. The system gets confused when there is a row that is missing data:
MX Records scrubbing: If you want MX records scrubbed, rename the file mxscrub_filename.csv
Upload renamed files into dirty folder & email us at data@trapremoval.com (that email goes to all scrubbers). Once file is done uploading, all our team see all FTPs via our inhouse system. Each file has a timer at the end of it. We try and get files done in less than an hour.
We will download and work on the files then delete them in the dirty files folder. We save a copy in case client wants us to rescrub or for any misplacement reason or for nonpayment.
After we clean, we will upload the files into the clean folder. After you pull down the cleaned files, you must delete them immediately to save space on our server.
Every file will be renamed after cleaned. In example: LITE_filename.csv will be renamed LITE_filename_sb010112a.csv The code at the end of the file stands for (sb) Scrubbed (010110) Jan 01 2012 date and (a) is who scrubbed your data – Angel or (j) for James or any one of our scrubbers for accountability.
::: BEFORE YOU UPLOAD :::
All files must be in CSV format. Please change any delimiters to comma. We may tell you to redo the data before we start to clean so this could waste a lot of time if the files are not properly delimited.
All files need quotations removed. Quotes drown down the memory for some reason in our manual system and online system.
Merge all databases if they have the same headers. It’s a waste of time if we can clean 1 file instead of 2.
Zip all files before uploading – Our Manual Scrub FTP holds up to 200 gb and usually it’s always almost full because clients upload so much data.
DO NOT ZIP 10 (multiple) OR WHATEVER FILES IN ONE ZIP. Zip each one separately, otherwise, we will merge them together and scrub, thus you will get back 1 file versus the 10 or whatever number you sent.
Turnaround time for data is usually an hour or same day or overnight but we ask all clients to wait 72 hours in case of backlogged. This never happens, but we want everyone to be on alert just in case.
KEEP IN MIND: Scrubbing 1 file can take anywhere from 12 minutes to 4 hours depending on the size. If you can manage, space out the data within the week instead of uploading a massive amount of files. All clients should upload no more than 10 files a day.
